EKYSA BOARD MEETING MINUTES

TUESDAY, MARCH 5, 2013

 

Peggy Gawronski called the meeting to order.  Those present at the meeting were as follows:

ALSO PRESENT:  Gary Warford and Shane Pullian representing UPike.

 

--After introductions were made, Scott Porter made a motion to accept the minutes from the last meeting.  There was a second made by Jenny Burchett and it was called to a vote.  The motion passed unanimously.

--Before the treasurer’s report was given, Paul Burchett made a motion to move the New Business agenda up about Select Teams & Dual Registration in EKYSA to be discussed at this time during the meeting.  It was seconded by Brian Johnson and everyone voted in favor of this motion.  The discussion was opened up with an idea of a club in our area to represent EKYSA called ‘Mountain United’.  There would be a board consisting of five members, which would include Paul, Scott, Brian, Frank, and Jim.  A regional effort would be taken to provide the coaches who would participate in the club with a D License Coaching Class.  Frank Dawahare informed the members that a meeting already took place in Pike County and was attended by two of our counties in EKYSA, which were Floyd & Johnson.  There was discussion of academy teams that had acquired head coaches for different age groups. 

At this time, the floor was open for discussion.  There were many questions asked and statements said about such things as traveling problems, combining teams around your team in the future, no centralizing, and try-out dates in the future for the teams.  There were ideas given out about a Spring U17 girls team in Pike County (to participate in tournaments) to be the first team represented in the Mountain United Soccer Club.  They would like to incorporate academy kids in UPike to include kids U12 and under and make this a division of EKYSA.  The fees would be extra, which would include but not limited to things such as dual registration, monthly fees, kit fee, and tournament fees.  Many motions were made and discussed, but Toby Dawahare made the motion that received a second by Julie Maynard which would accept the board selection of Mountain United and incorporate Pike Academy into this spring season so there will be a start to go by for the fall season.  The motion passed unanimously with a promise that a list of players had to be turned in to EKYSA.

--The treasurer’s report was read and approved by all EKYSA members present at the meeting.

 

OLD BUSINESS

--Calhoun Salyer gave an update on the Referee Clinic class to everyone.  He mentioned that the numbers were low on certified referees in our area and there would need to be some assistance with some of the kids refereeing the U14 & up games.

--The Coaching Clinics are still open & need to be filled by our county coaches as soon as possible.  Everyone needs to go back to your county and encourage all your coaches to attend.

 

NEW BUSINESS

--Spring season dates were stated as follows:  Saturday, March 30th thru Saturday, May 25th.

Representatives from Breathitt County & Letcher County were not present, but made prior arrangements with Peggy to be excused from this meeting.  Julie Maynard took all other county’s team numbers & requests for the season at this time. The question about U16-U19 teams came up and everyone decided to keep the same team rules as last spring.  The deadline for ALL REQUESTS was set for Saturday, March 9th at 8am by email.

--Toby Dawahare informed all members interested that he would discuss the summer U10-U12 Tournament in June at a later date.

--Website updates are to be made by Scott, with the understanding that he has time to complete this task.

--Grey t-shirts were given to EKYSA by Kentucky Youth Soccer this season.  Discussion was made about possibly giving them out to our hard-working coaches in our league and coming up with a logo to put on them.  A motion was made by Sherry Mendoza to get the shirts printed and given out to all of our coaches in EKYSA this spring season.  It was seconded by Julie and everyone voted to accept the motion. 

--Each county is responsible for sending any changes about field location, board members with info, certified referees, E license coaches, etc. to Peggy.

All coaches are to report season game scores to:

U10 --- Jenny Burchett

U12 --- Toby Dawahare

U14/U19 --- Peggy Gawronski

 

--The next meeting would be decided and agreed upon by all members via email.  The motion was made and seconded by Jenny and Sherry.  Motion was passed unanimously.

February 19, 2013

Scott Porter made a motion to accept the minutes from the previous meeting.  Jenny Burchett seconded.  Motion passed unanimously.

 

Jenny Burchett gave the treasurer’s report.  There were no outstanding balances from any county for Fall 2012

 

OLD BUSINESS

Referee Clinic is scheduled for February 23rd and February 24th.  Anyone interested in participating can go to us soccer website and register online.

 

Coach’s Clinic will be held March the 23rd for E Class in Paintsville.   There will also be a youth module coaches clinic in March in Paintsville.  Anyone interested in participating can go to kysoccer to register for the clinics. 

 

The minutes approved at tonight’s meeting will be put on ekysoccer.org.

 

NEW BUSINESS

Each county is to email Peggy, prior to March the 5th, in Excel Format, a list of Board Member Information including Names, Phone Numbers and E-mail addresses. 

 

Calhoun made a motion for the EKYSA Spring 2013 Season to be March 30, 2013 through May 25, 2013.  Jenny seconded.  The motion passed unanimously. 

 

Next meeting will be March 5th.  At this meeting, each county is to have any requests for byes, number of fields, registration fees, background checks for all coaches (even if they have previously filled out a form), and coaching contact information.

 

Before any team will be permitted to play, all players have to be on League One, each team is to be formed, and each team is to have coaches assigned to those teams.

 

Julia asked for each county to check the Prom and Graduation dates as that may cause a conflict in a team’s schedule.

 

Julia reminded each county that, there would be a rough draft of the schedule sent to one board member from each county.   This schedule is not to be handed out, just reviewed for any changes or other requests.  The final schedule is the only schedule to be handed out to coaches and teams.  

 

Frank then asked for the Board to discuss dual registration.  It was stated, if EKYSA had a select league, then we could control any dual registrations.  If playing in another league, it has to be determined what their requirements are for dual registration.  Frank discussed wanting to try to have Tournament Teams in the spring.  Paul stated he thought we should try it, if there was enough participation, and see what happens.  Peggy stated we could accept dual registration for tournament teams. 

 

Jenny made a motion that EKYSA allow dual registration for the U10s and U12s for Pike County this Spring Season for Tournament Teams.   Scott seconded.     Motion passed unanimously. 

 

Maximum number of players was discussed.  U10s = 2.  U12s = 16.  U14s = 18.   U19s = 22 but can only dress 18 to play a game.

 

Scott requested feedback regarding the separation of girls and boys at the U19 age level.  The biggest issue was scheduling.   Julia will schedule the U19s this season.

 

Next meeting will be March 5, 2013 at 6:30 p.m.   Each county wanting to participate in spring 2013 Season is to have a representative attend this meeting.

Marcelli made a motion to accept the minutes from the previous meeting.  Jenny seconded.  Motion passed unanimously.

 

Treasurer Report was given.  Every county has paid their Spring registration fees, but Letcher County.  They still owe 284.30.  EKYSA paid 875.00 to Paulo Neto for hosting camps this spring leaving a balance of 3,592.59.  Frank made a motion to accept the Treasurer’s Report.  Julia Seconded.  Motion passed unanimously.

 

No formal Registration Report was given. Janie did send an email before the meeting to all counties  stating what their numbers were that were on line as of August 13, 2012.

 

Referee Clinic – No information was given regarding any ref clinics.

 

Coach’s Clinic – Each County is to go back and see how many coaches are willing to attend a coaches clinic of Youth Module, E & D License.  The County Rep is supposed to e-mail Peggy their expected numbers for attendance.  The State requires a minimum of 15 in attendance for youth modules.  Paul stated that EKYSA should schedule a youth module every year.

 

Peggy stated that she had sent an email asking for coach’s information and no county has responded to her email. 

 

Every county is to send Peggy their coaches information, name, birthdate, SS#, and Driver’s License so that a Background Check can be performed on all coaches.  

 

Peggy also stated that all players were to be online and placed on teams before any games would be scheduled.  This is to be done by Friday, as Julia will be starting on the schedule Saturday. 

 

Team counts were turned in as follows:

Belfry 2 U10s, 1 U12, 1 U14.

Breathitt 1 U10, 1 U12, possibly 1 U14

Floyd  3 U10, 1, U12, 1 U14

Johnson 3 U10, 2 U12, 1 U14

Martin 1 U10, 1 U12

Perry 2 U10, 2 U12, 1 U14

Pike 1 U12, 1 U14

Lawrence 2 U12s. 

Letcher County was not present to turn in numbers.  As they still owe their EKYSA fees, no Letcher County teams will be scheduled through EKYSA until the past fees are paid.

 

Peggy stated that Janie would be verifying all players to be sure they are distributed properly on teams.  It was stated no select teams are to be formed to play as an EKYSA Recreational Team. 

 

The Byes and Field information was then given to Julia.  If there are any other requests to be made, she needs to be contacted by Friday at mandjmaynard@yahoo.com

 

All coaches’ information is to be emailed to Peggy in Excel Format by Friday.

 

Any Website information change is to be emailed to Peggy by Friday.

 

Each county representative is to go back to his or her coaches and discuss with them good sportsmanship behavior. It was discussed, we have young adults now ref’ing games and the coaches are to show them respect on and off the field.

 

Each county representative is to email scores, no shows, or game cancellations to the following Board members:

It was also brought up as a reminder that EKYSA has a Mercy Rule of 10 points.

OLD BUSINESS

Peggy discussed the coaches’ volunteer forms. Not all counties and coaches have filled them out. She proposed that a current coaches’ list be made with emails being sent to those with missing forms asking them to fill them out or send in the information. This could all be done via email because they do not require a signature. Any coach not turning in their form would not be eligible to coach until the information has been received. Sherri Mendoza made a motion that this be done. Marcelli Gauze seconded. Motion passed unanimously.

 

NEW BUSINESS

Discussed ideas on possible sanctions/penalties for canceled games not rescheduled. One idea was to have a coordinator from different counties for each age division that each county would report to each week on games played and/or canceled that week. No motion or vote was given on this matter.

 

Discussed issue of some counties with multiple teams in the same age division having unequal teams, both in numbers and ability. Discussed need for players to not just be registered in League One prior to game scheduling, but to also be assigned to teams to better see that teams are split evenly. Also discussed using the above idea on age division coordinators being a link each week for counties to turn in game scores to better monitor the possibility that multiple teams from the same county in the same age division having teams that were not split equally based on ability. 

 

Discussed the dates of September 8 through November 3 for the Fall 2012 season. Motion made by Sherri Mendoza to accept these dates. Seconded by Marcelli Gauze. Motion passed unanimously.

 

Discussed the need to follow and encourage good player, fan, and coach conduct. Discussed idea that any problems could be turned in to the age division coordinators for each county (as discussed above) as well.

 

Discussed U10 all star/select teams. Belfry, Floyd, Johnson, and Perry will be participating.

 

Discussed  the U16/19 season. Many felt the way the schedule of games were formed for each team was not coordinated well, with each coach/team responsible for scheduling their own games. Some teams had little trouble while others had a difficult time. Discussed the idea of coming up with an outline of games that would be followed, but to let the teams themselves schedule the day/time of each game as to make it more convenient for both teams. 

 

The next meeting date was set as Tuesday, August 14 at 6:30 pm at Lizzie B’s (if available). All teams must be formed and all players assigned to a team before this meeting. All fees will need to be paid and all requests for bye dates, etc., will need to be made at the meeting.

Sherri made a motion to accept the minutes from the previous meeting.  Brian seconded.  Motion passed unanimously.

 

Treasurer Report is unchanged since the previous meeting.  Jenny Burchett went over the county who still owed money for the season.

 

OLD BUSINESS

The select league was discussed.  The counties represented: Johnson County would participate if there were enough numbers to have a team.  Belfry said no.  Floyd said yes.  Each county preferred to have it after the season and not during Rec season.

 

Other -  Peggy will have U10 & U12 coaches get together for a select team meeting to see if there are enough numbers to participate.

 

NEW BUSINESS

U16/19 split was discussed for the Spring Season.  It was proposed for each county to have meetings with high school coaches and see if they are willing to help coach a Rec team that would contain their high school players.

 

Jenny Williams asked if we could have a U20 team.  Peggy said yes.  Each county represented is supposed to go back to the county and see if there is enough interest in this.  Peggy said to advertise this and see how much participation each county would have.

 

Every county is to let Peggy know who there high school coaches are.  EKYSA will possibly plan a meeting to invite them to attend.

 

Referee Clinic – Tony Crush sent preliminary dates.   He requested March the 31st, but Calhoun is going to try to have that changed to the 24th.  Recert Clinic preliminary date is January the 28th.

 

Coaches Clinic – Each county is see how much participation they would have for an E coaching class or a youth module coaching class. 

 

Positive/Negative from the Fall Season – Perry, No issues.  Other then U14 game cancelled.  Belfry, One issue with Martin County.  They refused to come because Belfry fields were not regulation fields and because of Referees.  Peggy talked to a coach that complained they were traveling too far.  This team gave no request to Jenny during scheduling requests.  Donna mentioned that some of the games she had attended through the fall, some teams were not having enough players to play.  It was discussed if teams were short rostered or if counties were having issues with players showing up for games.

 

It was recommended for roster checks before each game.  Each team is to be carrying a roster signed by Janie Allen EKYSA Registrar to all scheduled games.

 

Spring Season Dates – March the 31st through Memorial Day.

 

Next Meeting – March the 6, 2012.  Each county is to have their teams on line by the date of this meeting.  Team counts, scheduling requests, coaching information and field information are to be turned in at this meeting.  All counties are to be represented at this meeting to participate in the  Spring Season.
